Apeiro Wealth Group is growing! We’re in search of an Office Professional who will work in person at our Oviedo Office Monday-Friday from 8:30am-5:00pm.
POSITION SUMMARY:
Our Office Professional will be the first point of contact for our clients. A successful Office Professional must be an effective communicator who speaks clearly and is personable and welcoming when greeting our clients. You will assist with the day-to-day operations of the office by answering phone calls, greeting our clients, preparing documents for meetings, and managing the calendars of our Financial Advisors. The Office Professional reports to the Director of Engagement and is employed by Apeiro Wealth Group
DUTIES & RESPONSIBILITIES:
• Greet in-person clients, both scheduled and non-scheduled, as first point of contact
• Handle incoming telephone calls to Apeiro Wealth Group and respond to requests for information
• Manage office voicemail
• Maintain calendars for Advisors, adjusting to scheduling needs on a weekly basis
• Track and update communication needs
• Perform routine administrative duties such as maintaining office supplies and processing mail
• Assist in planning and inviting clients to events
• Complete and follow up on documents and applications to ensure processing
• Schedule meetings on behalf of Advisors
• Update CRM with contact and preference information
• Assist Financial Advisors in the preparation and follow up for the client/member meetings
• Provide back-up support on tasks that do not require any type of licensing or registration for other staff members, as needed
• Maintain professional appearance and cleanliness of reception and conference room, including light cleaning and trash removal
• Complete other miscellaneous tasks as assigned
REQUIRED QUALIFICATIONS:
• Excellent communicator with a high level of in-person, phone and written communication skills
• Positive outlook regardless of circumstances, workload, external issues
• Solution-oriented mindset, able to proactively remedy issues that arise
• Ability to work effectively with various personalities and work styles while adapting quickly and efficiently to changing priorities and needs
• Strong attention to detail
• Self-motivated and inherently accountable to doing excellent work and providing world-class service
• Ability to maintain the highest ethical, confidential, and professional standards
• Proficient in Microsoft Office Suite, Outlook (experience with CRMs such as Salesforce preferred)
